The "Golden Rule" to follow in the event of an occurrence, which may give, rise to a claim is: -
"NOTIFY US IMMEDIATELY AND ACT AS IF YOU ARE UNINSURED AND ON THIS BASIS MINIMISE THE LOSS"
Chancery Wright Insurance Brokers Ltd takes serious the responsibility of fulfilling the promise undertaken when the policy was issued and insurance coverage became effective. When a covered loss under the policy occurs, Chancery Wright must be notified immediately in writing. Once the notice is received, the claimant will be supplied with necessary forms and requirements to facilitate settlement of the claim. Chancery Wright will continue guiding and offering necessary assistance to the claimant until the claim is settled.
CLAIMS HANDLING
To enable us deal quickly and efficiently with your claim, it is important that you notify us of the loss or any occurrence that may give rise to a claim. We, at Chancery Wright undertake to handle our clients’ claims right from point of notification through to when the claim is fully settled. We are aware that delays in claims settlement causes frustration to the client and impediment of their financial ability to operate their business. Our mission is therefore to ensure that our clients’ claims are not only settled expeditiously, but also professionally.
NOTIFICATION
You can do this by telephone, email message, letter or you may visit our office personally. Details required are mentioned in our claim notification form.
After notification we will,
- Notify your insurers immediately
- Advise you of the documents required and verify them to ensure their validity in relation to the claim in question
- Advise you every stage as the claim progresses
- Prepare and send you a quarterly claims’ update
MOTOR INSURANCE CLAIMS – SMALL BUT VERY IMPORTANT THINGS YOU MUST NOTE OR COMPLY WITH TO AVOID PROBLEMS IN FUTURE SHOULD A MOTOR CLAIM ARISE
- Make sure that you have fully settled your premium.
- Ensure that you have fitted your vehicle with the recommended Anti Theft Device. This is a must to avoid paying higher excess or claim rejection.
- Ensure your vehicle is at all times roadworthy. Worn out tyres should never be used even as spares. Your policy contains a maintenance warranty and if your vehicle is not properly maintained the insurers will not honour your claim.
- You will only be indemnified at 50% should your tyres, rims, tubes and batteries be damaged or stolen unless the items are new. (valid proof is required) This is the market practice all over the world.
- Declare the values if you have fitted your vehicle with non-standard items like Alloy rims, special tyres, radio cassettes, e.t.c. This will enable your insurer to charge any additional premium so that your claim will be paid without problems.
- Your windscreen and radio cassette claim will be subject to payment of Excess should the damage also involve other parts of your vehicle. However if it is damaged/lost on its own then the Excess will not apply.
- A photograph of the damaged windscreen is a requirement. Please take one before you carry out repairs.
- Ensure your vehicle is adequately insured. Avoid over insurance as you will only extra pay premium unnecessarily. Also avoid underinsurance to avoid the punitive average condition which states that you will be responsible for the proportion of loss arising from underinsurance, meaning you will shoulder part of the loss. You should never insure your vehicle duty free as this will constitute underinsurance. Please note that should a claim occur the vehicle will be repaired with spare-parts that are subject to duty which is unfair to underwriters. Never allow your vehicle to be driven by unauthorized or unlicensed drivers.
- Note that you will be asked to meet any costs arising from betterment of your vehicle should a claim arise. i.e. if your vehicle is partly damaged at the front but requires say full repainting you will be expected to chip in for the ensuing charges proportionately.
- Never use your private vehicle to ferry passengers like matatus as any claim arising there from will not be entertained by your insurer.
- Report all incidents within reasonable time to Chancery Wright especially if there are any injuries to passengers or third parties. The same should be reported to Police and an abstract report obtained.
NOTE
After an accident please observe the following;
- Take all details; location and cause of the accident, time, weather conditions, type of road surface, warning given, lights showing on the vehicle and the estimated speed before the accident.
- If possible obtain witnesses.
- Never ever admit liability but take particulars of the third party vehicle.
- Notify Police immediately (A must for all cases especially injury claims).
- After the Police have recorded the accident, move the vehicle to a safe place.
- Assessment of damaged vehicles is at all times carried out in a garage.
- Obtain a Police abstract report.
- Obtain an estimate of the repair cost. Never authorize repairs.
- Complete a claim form. Please fill all the details required, and consult Chancery Wright where need be.
- Submit all third party correspondence received answered or acknowledged to Chancery Wright.
- Copies of the driver’s license and statement must be attached to the claim form.
- A copy of log book, to proof vehicle ownership is required
In case of theft or theft from vehicles;
- Notify Police immediately;
- Obtain a Police abstract report.
- Cooperate with the investigators.
- Submit service records.
- A certificate, test and examination of the vehicle is also required
- If vehicle is uneconomical to repair or stolen and not recovered, we require an original log book, car keys, two transfer forms signed but undated, copy ID Card (individuals), certificate of incorporation for individuals, duplicate certificate of insurance and copy of PIN certificate
- Note that all claims falling below the Excess applicable are not payable.
- Applicable excess is payable before release of the vehicle
NOTE
- In all cases you should act as if you are uninsured and minimize any losses.
- Failure to properly document a claim may prompt insurers to dishonor the same.
- By taking the necessary and correct steps from the word go claims will be settled faster and less costly.
- All claims should be handled at a central position for better coordination and follow up for corporate clients.

PROPERTY DAMAGE/LOSS CLAIMS/LOSS BY EMPLOYEES
- Make sure that you have fully settled your premium.
- Ensure the Amount you have insured your property is adequate to avoid underinsurance and then your claims will be paid without problems.
- Where Excess is applicable, it will be deducted from claim amount
- Report all incidents of theft , fire damage , fraud to the police and obtain an abstract.
- Cooperate with the investigators/adjusters.
- Complete a claim form and obtain estimate of loss
- Withhold terminal dues of suspected employees and discontinue his/her employment contract immediately.
MARINE CLAIMS
- Obtain and send to us copy of marine certificate to facilitate faster claim process.
- Cooperate with the investigators/adjusters.
- Complete a claim form
- Report to the incident to the police and obtain an abstract.
- Other documents include: shipping invoices, bill of lading, survey report or other documentary evidence to show extent of loss and weight notes at final destination
INJURY CLAIMS
- Complete a claim form
- Submit a medical certificate, signed and stamped by the attending doctor
- Submit original medical bills if any, and applicable
- Consult Chancery Wright for further guidance
NOTE
- Medical certificate is completed when the injured is fully recovered
- A second opinion may be required, which please cooperate
- A pay slip may be required
- Self inflicted injury is not payable, unless while saving life
- Please study your policy document carefully to note the conditions, exclusions, clauses, warranties and limitations
